This Privacy Policy describes how Reel Resumes (“we”, “us”, “our”) collects, uses, shares, and protects information about you when you use our website and services (the “Service”). By using the Service you agree to the practices described here.
1. Information we collect
1.1 Account information
- Email address and password (passwords are hashed, never stored in plain text).
- Account type (job seeker, employer, or admin).
- Whether you accepted our Terms and Privacy Policy at signup.
1.2 Profile information
- For job seekers: full name, optional photo, role you are seeking, optional short bio, optional location.
- For employers: company name, optional logo, industry, company size, optional website and description.
1.3 Application content
- The 60-second video you submit with each application.
- Optional written notes you include with your application.
- Status of each application (submitted, viewed, saved, interview, passed, withdrawn).
1.4 Usage and technical information
- Log data including IP address, browser type, pages visited, and timestamps.
- Cookies and similar technologies — see our Cookie Policy.
- Whether and when an employer has viewed your video.
1.5 Payment information
Payments for employer job postings are processed by Stripe. We do not store full payment card details on our servers. We retain a reference identifier for each successful charge for accounting and refunds.
2. How we use information
- To create and operate your account.
- To match job seekers with employers — showing your application to the employer of the job you applied to.
- To send transactional emails (e.g. application received, employer viewed, interview interest, password reset).
- To process payments and issue refunds where applicable.
- To prevent fraud, abuse, and violations of our Acceptable Use Policy.
- To improve the Service and develop new features.
- To comply with legal obligations.
3. How we share information
We share information only as described below.
3.1 With employers you apply to
When you submit an application, the relevant employer can see your profile, your video, and any optional notes. Employers see the email you used to register only after they save your application or indicate interest in interviewing you.
3.2 With service providers
- Supabase — database, authentication, and file storage hosting.
- Vercel — application hosting and edge delivery.
- Mux — video upload, encoding, and streaming.
- Stripe — payment processing for employer job postings.
- Resend — transactional email delivery.
- Sentry — error monitoring (when enabled).
- PostHog — product analytics (only when you have consented).
Each provider acts under contract and processes data on our behalf. We do not sell personal information.
3.3 Legal and safety
We may disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of Reel Resumes, our users, or others.
3.4 Business transfers
If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.
4. Data retention
- Active accounts and the data associated with them are retained as long as your account is open.
- Withdrawn or rejected applications are retained for 90 days then deleted unless you request earlier deletion.
- Closed job postings and their applications are retained for 12 months for record keeping then deleted.
- Deleted accounts and their videos are removed within 30 days, subject to legal or accounting hold periods.
5. Your rights
Subject to applicable law (including Canada's PIPEDA, Quebec's Law 25, the EU GDPR, and US state laws like the California Consumer Privacy Act), you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Delete your account and associated data.
- Receive a portable copy of your data.
- Object to or restrict certain processing.
- Withdraw consent for analytics cookies at any time.
- Opt out of the “sale” or “sharing” of personal information (we do not sell personal information).
- Lodge a complaint with your local privacy regulator.

6. Children
The Service is not directed to anyone under 16. If you believe a minor has provided information to us, contact privacy@reelresumes.com and we will delete it.
7. Security
We use encryption in transit (TLS) and at rest, restrict employee access to personal data, and audit access regularly. No system is perfectly secure; we cannot guarantee that unauthorized access will never occur.
8. International transfers
We are based in Canada and process data in Canada and the United States. By using the Service you consent to the cross-border transfer of your information for the purposes described in this policy. We rely on contractual safeguards with our processors.
9. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent revision. If we make material changes we will notify you by email or through the Service.
